What Documents Do I Need to Apply for a Mortgage? (Complete Checklist)
Short answer: Most borrowers need 30 days of pay stubs, two years of W-2s (or tax returns if self-employed), two months of bank statements, a photo ID, and permission to pull credit. Your loan type can add a few items. The checklist below covers them.
Gathering paperwork is the part of a mortgage most people dread, and it is also the part that most often slows a file down. After more than 25 years of helping Florida families finance homes, I can tell you the borrowers who close smoothly are rarely the ones with perfect credit. They are the ones who send complete documents the first time.
Use this checklist before you apply. Not every item applies to every borrower, and I will tell you exactly which ones your file needs.
The Core Checklist (Almost Every Borrower)
Identity
- Government-issued photo ID (driver’s license or passport)
- Social Security number (provided at application, not at the first conversation)
- Current address and two years of address history
Income (W-2 employees)
- Pay stubs covering the most recent 30 days
- W-2s for the last two years
- Two years of employment history, with employer names and dates
- Written explanation of any job gap longer than 30 days
Assets
- Two most recent months of statements for every checking and savings account (all pages, even blank ones)
- Most recent quarterly statement for any 401(k), IRA, or brokerage account you plan to use
- A short explanation and paper trail for any large deposit that is not your regular paycheck
Credit
- Written authorization to pull credit
- A letter of explanation for any recent late payments, collections, or credit inquiries the underwriter asks about
Talk to Nathan directly
Every file is different. Call or text and you reach Nathan Young, the licensed broker who owns North Star Mortgage Network, not a call center. You will get a straight answer about your options.
Ask about your actual file — no SSN, no credit pull.
If You Are Self-Employed or Paid on Commission
- Two years of complete personal tax returns (all schedules)
- Two years of business returns (1120, 1120S, or 1065) if you own 25% or more of the business
- Year-to-date profit and loss statement
- Two to three months of business bank statements
- Business license or CPA letter confirming the business is active
If your tax returns understate what you really earn, ask about bank statement loans. They qualify you on deposits instead of taxable income, and program guidelines apply. Read more in my self-employed mortgage guide, or see how long you need to be self-employed.
Lenders usually confirm your returns directly with the IRS. Here is how IRS tax transcripts work in mortgage approval.
Extra Items by Loan Type
VA loans
- Certificate of Eligibility (I can usually pull this for you)
- DD-214 if you have separated from service
- VA disability award letter if you receive disability income
FHA and USDA loans
- The core checklist above, plus any items the lender requests to document household income (USDA counts everyone in the home)
If someone is gifting part of your down payment
- Signed gift letter
- Proof the donor had the funds and proof of the transfer
If you receive other income
- Social Security or pension award letters
- Divorce decree or support order (for alimony or child support you receive or pay)
- Signed leases for rental property you own
FHA, VA, USDA, Fannie Mae and Freddie Mac guidelines may change, and lender overlays may be stricter.
If You Already Own a Home (Refinance or Buying Your Next One)
- Most recent mortgage statement
- Homeowners insurance declarations page
- Property tax bill
- HOA contact information and dues statement, if applicable
Documents for the Purchase Itself
Once you are under contract, I will also need:
- Fully signed purchase contract, including all addenda
- Proof your earnest money deposit cleared your account
- Your homeowners insurance agent’s contact information
How to Send Documents So Nothing Gets Kicked Back
- Send every page. “Page 3 of 3” means the underwriter needs all three, even the blank one.
- Use PDFs, not photos. Download statements from your bank’s website instead of snapping pictures.
- Do not move money around. Large transfers between accounts create more paperwork.
- Do not open new credit. Hold off on car loans and new cards until after closing.
- Expect updates. If your file runs longer than 30 to 60 days, you will be asked for fresh pay stubs and statements.
Why Working With a Broker Helps Here
A bank has one set of rules. As an independent broker, I work with many wholesale lenders, so if one lender wants a document you cannot easily produce, another lender’s guidelines may fit your situation better. That is often how I save deals other lenders have turned down. If a bank already told you no, get a second opinion.
The next step after gathering documents is a mortgage pre-approval.
Frequently Asked Questions
What documents do I need to get pre-approved for a mortgage?
Most borrowers need a photo ID, 30 days of pay stubs, two years of W-2s or tax returns, two months of bank statements, and permission to pull credit. Self-employed borrowers usually add business returns and a profit and loss statement.
How many months of bank statements do I need for a mortgage?
Most lenders ask for the two most recent months of statements for each account you will use, with every page included. Bank statement loans for self-employed borrowers typically use 12 to 24 months.
Do I need tax returns to get a mortgage?
W-2 employees often do not need full tax returns, though lenders may still verify income with IRS transcripts. Self-employed borrowers, and borrowers with rental or commission income, generally need two years of complete returns.
Why does the lender keep asking for more documents?
Underwriters must verify every figure on your application. A large deposit, a job change, or a new credit inquiry triggers a request for an explanation. Sending complete documents up front keeps those requests to a minimum.
